The birth of a child is always a joyous occasion, but when it happens outside one's home country, a number of questions arise regarding document processing. This is especially true for Ukrainians temporarily or permanently residing in Slovenia. This article will help you navigate the process of legalizing a birth certificate issued in Slovenia for its subsequent use in Ukraine.
The procedure may seem complex, but knowing the basic steps and requirements will significantly simplify the process. We will cover what documents are needed, where to obtain them, how to properly translate and certify them, and what specific aspects to consider.
Obtaining a Birth Certificate in Slovenia
The first step is to register the child’s birth in Slovenia’s civil status register (matični register). After the birth has been registered, an official birth certificate extract (izpisek iz matičnega registra o rojstvu) can be obtained. Slovenia also issues multilingual international birth certificate extracts intended for use abroad.
Ensure that all data in the certificate is entered correctly, without errors. If any inaccuracies are found, you must immediately contact the relevant authorities for correction. This can significantly simplify subsequent legalization procedures.

Translation of the Birth Certificate in Ukraine
After obtaining the original Slovenian birth certificate, it must be translated into Ukrainian. Sworn translators (as practiced in some other countries) are generally not required in Ukraine for documents such as birth certificates. The translator's diploma and qualification are important.
The translation must be accurate and complete, reflecting all the information contained in the original document. After the translation is completed, it must be certified. There are two main types of translation certification:
- Notarial certification of translation: This is the most common and reliable method. The translator signs the translation, and a notary certifies their signature. This confirms that the translation was done by a qualified professional.
- Certification by the translation agency's stamp: Some translation agencies may certify the translation with their stamp if it is in line with their internal policy and meets the client's requirements. However, for official purposes, especially when submitting documents to government agencies, notarial certification is the preferred choice.
Legal Basis: In accordance with the Civil Code of Ukraine and the Law of Ukraine "On Notary Public," notaries have the right to certify the authenticity of a translator's signature on a document translation. This guarantees the accuracy of the translation.
Apostille: Legalization for International Use
In order for Ukrainian authorities to recognize the Slovenian birth certificate, it must be legalized. One of the most common methods of legalizing documents for countries that are parties to the Hague Convention of 1961 is by affixing an apostille. Slovenia is a party to this convention.
Apostille is a special stamp that confirms the authenticity of the signature, seal, and status of the person who signed the document issued abroad. The apostille is affixed to the original document. In Slovenia, an apostille can be obtained from the courts.
Procedure for obtaining an apostille in Slovenia:

However, since Slovenia is a party to the Hague Convention, an apostille is the standard and simplest method of legalization for Ukraine.
Consular legalization is a more complex and lengthy procedure that involves sequential certification of the document by the Ministry of Justice, the Ministry of Foreign Affairs of the country where the document was issued, and then by the Ukrainian consulate in that country. For a birth certificate issued in Slovenia, an apostille is sufficient.
